The PIM catalog is where you import, review, and revise all product and service offerings.

Items such as products and services are the backbone of PIM. Users can create them manually or by bulk import using a CSV file. Items are then validated to ensure data consistency and quality. PIM also supports the creation of item variants which are versions of an item with different attributes like sizes or colors.

NOTE: The operations on this page require attributes and hierarchies to be configured in advance.

To search pages for a specific word in the name, enter the word in the search field and hit the Search button. Search terms will auto-populate as you type.

Activate the filters by clicking on the filter icon next to the search bar button. You can filter by Hierarchy, Date, and Attributes & Values.

Columns

  • Selecting a checkbox will bring up the Bulk Actions button to enable Delete, Export and other operations

  • SKU - the unique number assigned to the item when it was originally entered into PIM

  • Display name - title that will appear when item is visible on webpage

  • Variants - number of alternative versions such as color or size

  • Primary Hierarchy - main category for this item

  • Created - date added to PIM

  • Active - true indicates item is live for use, false means entry is in system but not being used

NOTE: SKU, Display name and Active might have different column titles. They are dependent on the mandatory Mapped Attributes.

PIM filters enables users to select specific items they want to see or exclude on a list using multiple criteria.

Activate the filters by clicking on the filter icon next to the search bar button. You can filter by Hierarchy, Date, and Attributes & Values.

  • Hierarchy - You can select one or more categories from the Primary Hierarchy dropdown list. Subcategories will be indicated by an arrow next to the main category name. If Alternate Hierarchies are configured, you can apply filters to customize your view using those categories and items. When selections are completed, click the Apply filter button.

  • Date - Select the Date link and choose from the existing options or provide a custom date range for one or both filters. Click the Apply filter button when completed.

  • Attributes & Values - To create a filter for items based on the specific attributes, select Attributes & Values option. From the If dropdown, click on one attribute from the list provided. Click Add new condition if you want to create your own attributes for filtering.

All filters will appear as buttons on top of the list. You can delete individual filters by clicking the x next to the filter name or remove them all at once by clicking Reset all.

When multiple filters criteria are selected, they are applied in an AND condition manner, meaning only the items that match all conditions will be shown. Like “Date = 22-Jan-2022” and “Primary Hierarchy = Table” - when both are selected, items matching both criteria will be shown.

When multiple filters are applied under the same criteria, they are applied in an OR condition. For example “Date = 22-Jan-2022” and “Date = 12-Jan-2022”, will show items matching either of these conditions.

When filters are applied, all items are shown individually, meaning if only a variant matches the criteria and the parent doesn’t, the variant will be shown on the list. If both match the criteria, both entries will be shown on the list.

Select Catalog from the left panel and then select Items.

Click New Item at the top of the page.

Browse to or search the relevant subcategory from the Select a hierarchy node dialog box. Selecting a subcategory of the primary hierarchy (LEVEL: 0) is required and only the last subcategory in the hierarchy can be selected.

Populate the fields in each attribute section. These are example fields and will vary based on how you configured PIM. An asterisk “*” character indicates the field is required.

  • Product Title - title that will appear when item is visible on a webpage

  • Product Image - URL of the image to represent the product or service

  • Active -

  • Product ID - the unique number assigned to the item when it was originally entered into PIM, usually the SKU

To change the Primary Hierarchy, select the vertical ellipsis () on the top right and select Change primary hierarchy node. Select the new hierarchy node and click Save. This action will remove attributes of the current hierarchy and add new attributes from the new hierarchy node.

Once the Basic info is completed, the indicator will change from Not Started to Completed.

More attributes sections might appear depending on how you configured PIM and the required info will vary based on the Hierarchy node selected in the beginning of the process.

Once this is completed, the Publish button will be enabled. When Publish is clicked, it will make the product live in the system.

You can add variants for any item in PIM. When a variant is added to an item, the original becomes the parent. New items that are added become children. Variants added to a parent can be detached later.

 

Add variants

To add a variant, select a parent item from the Items list, click the Variants tab and click the Add Variants button up the top right.

Click Inherit parent item attribute values and check the values of the attribute(s) you want to inherit from the parent item to variants. This selection cannot be changed later and the values will always be dictated by the parent item. These inherited attribute values cannot be edited for a specific variant.

NOTE: SKU, Active, Formula-based attributes (hyperlink), and Serial type attribute (hyperlink) cannot be set to inherit values from the parent.

Click Select existing items if you want to add other existing items belonging to the same hierarchy as children to this item. A table with the following items will be shown

  • Items that are not currently a parent

  • Item are not currently a variant

  • Items that belong to the same hierarchy node

Click Create variants to add new items to your catalog as variants. In the Add number field, enter the number of variants for this item, then click the Add button.

Based on the numbers specified, a table will be populated for each variant where non-inherited attribute values can be saved. Click the Edit button to add or change any of the fields. A SKU value is required for a variant to be created. Variants without a SKU will not be created.

Variants are shown embedded in the Items detail page under Variants tab in a list view with image thumbnail, SKU, title, create date, and Active status. Variants are sorted by default on the basis of their Create/Update date. Clicking on a variant will render the Variant detail page.

To separate a child variant and make it standalone, click the Detach variant button.

To make a variant inactive but keep it available for possible future use, click the Unpublish button.

If you want to remove a single variant entirely, click Delete.

To modify attributes, click the Unpublish button to enable the Edit button in each attribute section.

 

Delete items

To delete an item, navigate to the item, click on it and click the Delete button. Your are given the option of deleting either the entire set of items (parent plus all its variants) or you can choose to delete only the parent items and all variants will become individual items without a parent.

PIM enables importing data from external sources using a CSV document. A CSV template file is available here (insert link) or you can download a template from the Import CSV dialog box while performing the import.

 

Prerequisites

The operations on this page require attributes and hierarchies to be configured in advance. If this is your first entry, visit the Initial configuration (link) page to complete the necessary setup.

 

Understanding the template

Hierarchy Node: This represents the category of Primary Hierarchy where the item belongs and has to be provided to create an item. Any item without a node will not be created.

SKU: It is mandatory to provide a SKU for all items.

Parent SKU: This is only required for item variant SKUs. Leave this field blank if the item doesn't have a parent.

 

Upload file requirements

  • fabric PIM only accepts CSV files; no other data or file formats are accepted at this time.

  • Hierarchy Node is mandatory. If the hierarchy node is missing, the item will not be created.

  • Delimiter for the hierarchy nodes is “->”. If the primary hierarchy node is not mapped correctly or not found in the system, the item will not be created.

  • Headers of the CSV file (first row) represent the attributes of the item. Attribute titles are not case sensitive, but we recommend you maintain case-consistency with the original attribute titles.

  • Formulas in formula-driven attributes will be executed automatically after items have been imported.

  • Empty rows and columns are ignored.

  • Attribute data format must conform to attribute type requirements:

    • Text: text string

    • Number: only numbers are imported; other data is ignored

    • Boolean: TRUE or FALSE only; other values are ignored

    • Date: use the same format used during attribute creation

    • List of values: the value must be an exact match to one of the list values

    • Serial: leave this blank

  • SKU must be provided for the items to be created.

  • Active attribute will be imported as TRUE only when all mandatory attributes are provided for the item, otherwise it will automatically change to FALSE no matter what value was given in the spreadsheet.

  • In case the CSV doesn't have an attribute that is added to the Primary Hierarchy, you can simply add a new column in the CSV and put the attribute name in the header and upload will populate the value for this attribute.

 

Uploading the CSV file

Go to the Item List page.

Click Import Items.

Search for or browse to the appropriate hierarchy node and click Next.

Select Choose file and navigate to your file to upload.

To obtain a template to review and populate, select the template here link in the dialog box.

Click Upload file. You can monitor the status of your upload in Import History.

Import History

The status of bulk imports is available on the Import History page.

To view your past imports, go to the Item list page.

Click Import History to see all imports with their status.

Clicking on any listing will take you to the Import Summary for that upload to view additional details including errors. The operation is all or nothing. Any errors prevent any portion of the upload.

You can export errored items, correct the errors, and re-upload the file.

Columns

  • File name - title that will appear when item is visible on a webpage.

  • Status - successfully Completed or Failed with error.

  • Created - date uploaded to PIM.

  • Message - Import successful or Errors identified if more than one type.

Export errored items will download a copy of the file originally uploaded and a CSV file with all errors listed.

This is an intermittent issue, might come randomly.

“Attribute Name” not found

The attribute mentioned in the CSV header is not added to the Hierarchy. Attribute Name must be an exact match.

Item is created but this specific attribute will be ignored.

Check the name of the attribute, ensure that this attribute is added to the primary hierarchy you are trying to import items for.

 

“Attribute Name” value is invalid

The value provided has some flaws/validation issues.

The attribute value will not be saved to the item.

Provide correct attribute value.

Example - if you add a text for a number type attribute, you will receive this error.

Active Mandatory attributes required

In order to set Active = TRUE for an item, all mandatory attributes are required.

Item will be created and attributes will be updated. Item can’t be set to Active=TRUE so this attribute will be ignored. Item Status will remain Active = FALSE.

Ensure that all mandatory attributes have a value in the CSV you are trying to import.

When doing a delta import, it is required to have all mandatory attributes and values added for the existing items for the “Active” attribute.

Some mandatory attribute values are missing.

There are some mandatory attributes for the hierarchy/items that need values. These could be global mandatory (set at the attribute level) or hierarchy mandatory (Set at the individual hierarchy level).

Item is created with errors. Only given attribute values will be added.

Include values for all the mandatory attributes.

Items can always be created with errors, but they can’t be published unless all mandatory attributes have a value.

 

Bundles are two or more products sold together. There are two types of bundles in PIM. Pure bundles are groups of products exclusively sold together; individual items can not be purchased separately. Mixed bundles are groups of items that are sold together and separately.

Select Catalog from the left panel of PIM, go to Bundles and click New Bundle. This process is similar to adding an item described above.

To add items to the bundle once information is saved, click on the Bundle items tab, then the Add Items button. In the Parent items section, click on the items you want to add. That items and all its variants will be included in the bundle. To select single variant items, click on Individual variants.

To edit the specific bundle, click on it in the Bundles list. On the Bundle information screen you can edit any field item by clicking the checkbox, changing the quantity if desired, and then clicking the Remove items or Add items button.

To delete a bundle on the individual Bundle Information page, click the Delete button in the upper right section of the page.

To delete one or more bundles from the list on the main page, select the checkbox(s), click on the Bulk Actions button and select Delete.

To import bundles navigate to the Bundles page, select Import Bundles and follow the instructions for Import items.
